Insurance Guidelines When Purchasing Goods or Services
Insurance is a means to ensure that a vendor/contractor providing goods or services to Dartmouth has the resources to meet its obligations under any agreement between Dartmouth and the vendor/contractor. Agreements between Dartmouth and our vendors/contractors should be governed by Dartmouth’s standard Terms and Conditions or by a negotiated contract in which Procurement and/or the Office of the General Counsel are involved.
All vendors/contractors who wish to do business with Dartmouth must meet the corresponding minimum insurance requirements below. Dartmouth employees who purchase goods or services on behalf of Dartmouth are responsible to ensure that their vendors/contractors meet these minimum insurance requirements and that their vendors/contractors agree to comply with Dartmouth’s standard Terms and Conditions.
Food providers, construction, transportation, information technology, summer/minor camps, and environmental services
Food providers, construction, transportation, information technology, summer/minor camps, and environmental services are handled through the procedures listed below in Section 2–Defined Risk Activities.
Risk Management and Insurance will not modify any of these requirements. Any requests to modify these minimum insurance requirements should be directed by the Dartmouth employee to their division leadership along with justification for making the change and exposing Dartmouth resources to potential loss. Due to potential exposure of Dartmouth resources, any modification that reduces these minimum insurance requirements should be extremely limited.
SECTION 1 – ORDINARY RISK ACTIVITIES (minimal exposure)
Ordinary Risk Activities encompass roughly 80% of the goods or services provided to Dartmouth by external vendors/contractors. Vendors/contractors must meet the minimum insurance requirements below. Certificates, if obtained, are to be submitted with the agreement/contract when requesting a PO, prior to the receipt of goods or services.
